Printing/Copying Services

  • The School Board understands that all materials published by the District must be of the highest possible quality. Furthermore, the Board believes that the District expends significant resources to publish said materials, and, therefore, believes that the most cost effective method of printing/copying them must be utilized.

    All printed materials which are produced for the District and for which charges are assessed shall be the responsibility of Central Printing Services. Cost and timeliness shall be considered by the Central Printing Services in determining whether such materials are produced internally and externally.

    District Copier/Multi-Function Device (MFD) Program

    The Copier/MFD program through Ricoh currently is controlled and monitored through Equitrac. The Equitrac Manager responsibility is usually assigned to the school bookkeeper, but not as a rule. You may have possession of a card or fob  that you can scan at a copier to access your account. It allows you to scan items (Using GlobalScan) that can be sent to your email (or another email address), make copies or print items you have sent from your computer to the copier that are held on the server. The Copier/MFD at your location may also be where you scan to send faxes using Rightfax.

    The Equitrac Manager can help you with issues with your card/fob.

    If the copier/MFD itself is having issues, there are two means of support, depending on the nature of the issue. If there is a technical issue like the copier displays that it is offline, or a print job you sent to it is not showing up in your queue, you would put in a PCS Tech Ticket. We have an Tech person from Ricoh dedicated to PCS to sold technical issues with the copiers and this person is sent the PCS Tech Tickets with your issues. If the Copier/MFD itself is physically malfunctioning such as a paper jam, no power or broken parts, Ricoh can send a service technician out to fix those issues. There is a sticker on the front of each machine with a website and a phone number, along with an Equipment ID (EID) number. If you call it in, or log into MyRicoh.com you will need the EID number to get service. Our contract states that Ricoh is supposed to return a call for service technician within an hour to schedule the service, and be onsite in 4 hours after that. If it's late in the day, the service call may not happen until the next day.

    A professional staff works from 7:30 a.m. to 4:30 p.m. to meet your printing needs.  Services provided are the same that are offered by a commercial printer, including desktop publishing, printing, collating, numbering, packaging, inserting and distribution. We also offer color copying and high-speed digital printing. Some examples are business cards, letterheads, posters, envelopes, carbonless forms, newsletters, brochures, bumper stickers, large vinyl banners, index cards, annual reports, directories, manuals and transparencies.

    APPOINTMENTS
    Please call for an appointment if your job requires special attention, e.g., design, layout, photos, special ink.  We can be reached at (727) 588-6387. The hours of operation are 7:30 a.m. to 4:30 p.m.  If the phone mail answers, leave your name and number, and someone will return your call as soon as possible.

    CHARGES
    The Central Printing Services department operates on a zero-based budget.  The total cost to produce your job (labor and materials) will be charged back to your department/school cost center.

    Copyright is a form of protection provided by the laws of the United States (Title 17, U.S. Code) to the authors of “original works of authorship,” including literary, dramatic, musical, artistic and certain other intellectual works.  This protection is available to both published and unpublished works.  Section 106 of the Copyright Act generally gives the owner of copyright the exclusive right to do and to authorize others to do the following:
    • Reproduce the copyrighted work in copies or phonorecords;
    • Prepare  derivative works based upon the copyrighted work;
    • Distribute copies or phonorecords of the copyrighted work to the public by sale or other transfer of ownership, or by rental, lease or lending;
    • Perform the copyrighted work publicly, in the case of literary, musical, dramatic and choreographic works, pantomimes, and pictorial, graphic or sculptural works, including the individual images of a motion picture or other audiovisual work.
    It is illegal for anyone to violate any of these rights provided by the Act to the owner of copyright. These rights, however, are not unlimited in scope.  Sections 107 through 119 of the Copyright Act establish  limitations on these rights.  In some cases, these limitations are specified exemptions from copyright liability.  One major limitation is the doctrine of “fair use,” which is given a statutory basis in section 107 of the Act. In other instances, the limitation takes the form of a “compulsory license” under which certain limited uses of copyrighted works are permitted upon payment of specified royalties and compliance  with statutory conditions.  For further information about the limitations of any of these rights, consult the Copyright Act or write to the Copyright Office.
     
    Central Printing Services reserves the right to refuse any request for duplication of copyrighted material.

    COPY CENTER
    The Copy Center is used for fast turn-around and smaller-quantity jobs. The Copy Center also has the capability of producing color copies.  Originals may be submitted in hard copy format, email or as an electronic file (CD, Flash Drive, Zip etc.).  Adobe PDF files produce the best results.

    DEADLINES
    Do not assume your job will be completed by the requested deadline.  If you have a job that must be completed by a specific day, call us in advance.  The average turn-around time is one week.  Certain times of the year are busier than others.  Call us for a more definite timeline.
     
    NOTE: “ASAP” is not a requested deadline.

    DELIVERY
    Completed jobs are shipped daily on the Printing Truck.  If the package is small enough and there is available space, the pony truck will deliver. The Printing Truck deliveries are similar to the Pony routes but not identical.  Deliveries start in north county on Monday and end Friday in south county. Exceptions may be made for shortened work weeks. Signatures are required on all deliveries.
     
    Jobs may be picked up. The following applies:
    •  If you are called and confirm that you will pick up the job, it will not be processed for delivery;
    •  Pickups will not be made after 4 p.m.;
    •  The job must be signed for.
    ESTIMATES
    Upon request, an estimate will be provided. Submit a copy of the job to be printed (electronic file preferred if available, or hard copy printout/mockup) along with the specifications. Estimates will be good for 30 days. Estimates will not be given over the phone. If an estimate is requested, the job will not be processed until the signed estimate is received by Central Printing Services. This is important if you have requested a specific deadline. Estimates are not final and may vary slightly. Changes will incur additional charges.

    NOTE: Please do not ask for an estimate solely for billing purposes (See Method of Payment).

    FAX
    The fax number for Central Printing Services is 588-6004. Proofs and estimates may be returned by fax under specific circumstances. However, all originals must be returned immediately following the fax. If we do not receive the original signed proof or estimate the next day, production on that job may be interrupted.

    METHOD OF PAYMENT
    Statements with attached invoices reflecting graphics time, printing, copy center, convenience copier and other charges are sent out monthly. These charges are billed directly to your cost center according to the coding strip on your requisition. Please make sure the coding strip is correct before you submit your requisition. Once you receive your statement and attached invoices, it is too late to change any coding.

    Please reconcile the statement and invoices with your budget immediately. All adjustments after journal entries are made must be directed to accounting.
     

    Prepress (Graphic Design, Desktop Publishing)


    Centtral Printing has the capability of designing and producing forms, brochures, newsletters, posters, etc. These may be enhanced by the addition of color and black-and-white photographs using high-resolution scanning. We can create originals from rough drafts or process your electronic art. Below are some helpful hints on submitting electronic art on disk or cartridge.
     

    ORIGINALS
    For the best overall results, originals submitted should meet the following specifications:
    •  Allow at least one-half-inch margin on all sides of page;
    •  Copy should be clean and clear;
    •  Artwork must be drawn in black ink on white paper;
    •  Photos must be in focus with good contrast.  (Photos should not be glued down on original.);
    •  Multiple pages to be collated must be numbered;
    •  No colored paper originals.
    If the above specifications are not followed, your request may be delayed.  A representative from Central Printing Services will call you or return your job with an explanation.

    PAGE NUMBERS
    Page numbers are required on all originals of multi-paged books. This ensures the correct sequence when collating the finished copies.  Please submit a mock-up or dummy. If one is not submitted, one will be made for you to approve and charged to your job. The proper procedure for page numbering is as follows:
    • All pages must be accounted for (tabs or dividers excluded)
    • All right-hand pages must be odd numbers; all left-hand pages must be even numbers
    • If your document is to be printed two-sided, please insert a blank page behind each original that is to be printed one sided.
    • Please number the blank pages.
    SAVING DOCUMENTS AND CREATING PDFs
    • Always save to your hard drive first, then copy your files. Do not give us your only copy of the file.
    • Best results come from PDF files made to “Print” quality rather than “Screen” quality. Fonts and images should be embedded. There are no cross platform issues with PDFs and they can usually be emailed.
    • All graphic images must be provided with your publication. The original art file and the placed image are required. If there is a problem with the placed image, we can correct the problem only if original art file is included.
    • All documents and scanned images must be provided on a properly formatted thumb drive or CD. (Mac or PC).
    • Any large document or a document with many images is preferred on a CD.
    • Before you submit electronic art, please call to verify software compatibility. Please call if you have any questions.
    • If you save a document as a PDF, it is emulated and all fonts, graphics, photos, etc. need to be embedded.   
    Please include a laser copy of your document! We cannot proceed with your job until we receive it.
     
    TEXT
    Keep text blocks cropped close to the text that they contain. Delete all unused text blocks and graphic elements outside of document area on pasteboard.
     
    INK
    Your job can be produced in any color or colors of ink. Most jobs are printed in black ink; therefore, black is on the presses most of the time. If you want another specific color, allow enough time for scheduling. Some colors require mixing and are more expensive than others. A special ink that requires 48-72 hours of curing time is necessary to prevent tracking or smearing in copiers and printers. Some examples of jobs requiring this special ink are letterheads, envelopes and certificates. These are considerations you may want to make when assigning colors in an electronic document. Please call if you have any questions.
     
    PROOFS
    Proofs are sent out both electronically and in hard copy. Eventually, all proofs will be sent out via email with attached PDF. Please check carefully and respond accordingly. If you receive a hard copy with a proof sheet please sign and return. If you receive an email with a PDF attachment, please respond by email stating clearly when the job is "approved to print". We will not print your job until we receive a final approval.
     
    PAPER
    Various sizes, weights, colors and finishes are available for your job. If you know the exact color, weight or thickness and size, please specify on the requisition or attach a sample.
     
    Carbonless paper is available in pre-collated sets of 2, 3, 4, 5 or 6 part.
     
    The paper is available in 8 1/2 x 11, 8 1/2 x 14 or 11 x 17 and various colors for custom sets
     
    REPRODUCTION OF PINELLAS COUNTY SCHOOLS (PCS) FORMS
    The reproduction of PCS forms shall be the responsibility of Central Printing Services. All forms shall be reproduced in their original format. For example, if a form has been originally produced on three-part carbonless, it must always be produced in that format. If a revision to that format is to be made, it shall be submitted to Central Printing Services. If a PCS form is inventoried in the Warehouse, it must be ordered from the Warehouse. If a PCS form is to appear in a manual or workbook, the word “SAMPLE” must appear across the body of that form.
